Ticketing Built for Graduation Balls

One evening, five hundred guests, forty tables and a committee of volunteers. Bookitive sells the seats, matches the payments and scans the door — you take the credit.

Table seating

Every class at its own table

Draw the grand hall once — round tables for the classes, rows for the parents, standing room by the bar. Guests see the real room and pick the exact chair they will dance back to all night. No spreadsheet seat-bingo, no seat sold twice.

  • Round tables, rows and standing areas in one map
  • Guests pick their exact seat at checkout
  • Sold seats lock instantly on every device

Payments

Parents pay by transfer. Nobody chases anyone.

Every reservation email carries a payment QR code with the amount and reference prefilled. The transfer arrives, pairs itself with the order, and the tickets go out — while unpaid reservations get a polite reminder and, eventually, give their seats back to the class next door.

  • Payment QR code in every reservation email
  • Bank transfers match orders automatically
  • Expired reservations free their seats on their own

The raffle stocks itself

AI writes a personal note to every local business — the café that donated wine last year gets thanked for it, the new gym around the corner gets a proper introduction. You approve each email before it sends, and the willing sponsors land in your inbox ready to talk prizes.

  • Outreach personalized from each sponsor's website
  • Last year's gifts remembered, year after year
  • You approve every email before it goes out

Dear Ms Cooper, Last year your wine tasting made our raffle the highlight of the night. Would you consider joining us again for the 2027 ball?

The door

The door runs on borrowed phones

No rented scanners. Classmates open check-in on their phones and tickets validate in under a second — duplicates flash orange, the live count shows the hall filling up, and when the cloakroom corridor kills the Wi-Fi, scanning simply keeps working offline.

  • Any phone becomes a scanner in one tap
  • Scanner role: helpers see the door, nothing else
  • Offline mode survives basement ballrooms

Collect the photos and the song from every class

Send one upload link to the class chats: each class drops their group photos and the track they want to dance to, no account, no giant email thread. Everything lands sorted into a folder per class in your Drive — ready for the AV team and the after-movie.

  • One link the whole year can upload to
  • Auto-sorted into a folder per class
  • Turnstile and caps keep it tidy

How it works

From first meeting to last dance

1

Draw the hall, price the seats

Tables, rows and standing room — with VIP and balcony priced by their worth. One afternoon, once.

2

Open sales and let go

Reservations hold seats, payments pair themselves, reminders nudge the forgetful. The committee goes back to homework.

3

Scan, dance, repeat next year

Phones run the door, the live overview counts the hall — and next season starts from this year's sponsor book.

Included

  • Bank-transfer payments with QR codes
  • Automatic matching, reminders and expiry
  • Box office for cash sales at the door
  • AI sponsor outreach for raffle prizes
  • Phone scanning with offline mode
  • Per-person limits that stop resellers
FAQ

Questions committees ask

Straight answers before your first ball. Missing one? Ask us via the demo form.

We are students, not a company. Can we even use this?

Yes. Sign-up is free with no card and no contract — you create your organization, draw the hall and start selling. The onboarding wizard walks you through payments and your first event step by step.

How do bank-transfer payments actually work?

Each reservation email includes the amount, account, reference and a payment QR code. You connect your bank account — currently Fio banka — and incoming transfers pair with orders automatically; unpaid reservations get a reminder and then expire.

Can helpers scan tickets without seeing our numbers?

Yes. Give classmates the scanner role for the one event — they can check guests in at the door and see nothing else, not sales, not revenue, not the guest list beyond the scan.

The ball sells out every year. What about scalpers?

Set per-person ticket limits, let the built-in risk scoring flag suspicious bulk orders, and for the hottest years switch on rotating QR tickets that make screenshots worthless at the door.
